Minnesota Department of Education

“Every Z Systems technician I’ve worked with has been so responsive. They’ve been very considerate, they come in a timely matter, and they really spend the time to make sure things are working the way I want them to.” - August Lah, Conference Center Coordinator at the Department of Education

Problem

The Minnesota Department of Education is responsible for ensuring a quality educational standard across the state. To train their wide range of staff and learn more about the future of teaching, they host training sessions, expositions, and seminars. Before their partnership with Z Systems, they would scramble to find meeting rooms to host these events, and hope that the room could handle their variety of needs. After sectioning off a space in their Minneapolis HQ, they partnered with Z Systems to create a state  of the art conferencing center that could accommodate their needs.

“It’s got a nice flexibility for our meeting needs down there. It’s awesome to be able to divide those rooms so we can host a variety of events in them.”

A large rack is mounted on a plywood wall. It is filled with AV devices.

Solution

Z Systems installed 7 Zoom-certified meeting rooms in a variety of configurations. They range from 10-person huddle rooms to a 200-person conferencing area. Using Yealink control systems and cameras, all rooms are equipped to handle in-person and virtual meetings effortlessly. Using laser sensors, the rooms can be divided. Once it detects a collapsing wall is being set up, it will split the audio and video systems from one combined setup, to two separate and complete A/V solutions. Best of all, all the technology lives in a server closet far away from the meeting rooms. This means no more bulky podiums with wires leaving from them.

Aftermath

The Minnesota Department of Education have used these rooms consistently since Z Systems had completed the install. They were able to host a hybrid symposium with 200+ guests in their large conference room, and over 500 participants joining in virtually. Because they opted for the gold service contract, a Z Systems technician oversaw the event to ensure the stability of the system. The conference was a success, and they were able to integrate the virtual audience without a hitch. Multiple teachers, administrators, and other vendors come to this building to meet inside one of their meeting spaces.
